Getting started
What does FormGatekeeper do?

FormGatekeeper lets you build custom application forms, embed them on your storefront, and review the submissions inside your Shopify admin. When you approve an applicant, FormGatekeeper can automatically tag or create the Shopify customer — unlocking wholesale pricing, gated collections, memberships, or any other tag-based perk.

How do I install it?

Install FormGatekeeper from the Shopify App Store. It loads directly inside your Shopify admin — there's no separate account or password to manage. Shopify handles authentication.

Do I need to write any code?

No. You build forms with a drag-and-drop editor and add them to any page using the Shopify theme editor (the FormGatekeeper block under "Add section"). No theme code or developer is required.

How much does it cost?

FormGatekeeper has a free tier so you can get started at no cost, plus a paid plan with higher limits. All billing runs through Shopify and appears on your normal Shopify invoice — there's no separate checkout.

Building & embedding forms
What field types are supported?

First and last name, email, phone, address, file upload, tax ID, and custom text, textarea, select, radio, and checkbox fields. Each field supports validation rules and a 50% or 100% width layout.

How do I add a form to my store?

In your Shopify admin, open Online Store → Themes → Customize, choose the page, click Add section (or block), and select the FormGatekeeper form. Pick which form to show and save. The form inherits your theme's fonts, colors, and button styles automatically.

Can applicants upload files?

Yes. Add a file-upload field for documents like seller's permits or business licenses. We accept JPEG, PNG, WebP, and PDF files up to 10 MB. Files are stored securely and are only viewable by you from the submission detail page.

Reviewing & customers
How does approving an application work?

New submissions appear in your FormGatekeeper dashboard. Open one to review the details and files, then click Approve or Deny. You can also turn on auto-approve to tag customers instantly on submit.

What happens to the Shopify customer when I approve?

Based on your per-form rules, FormGatekeeper can apply a tag on submit (for example wholesale-pending) and a different tag on approval (for example wholesale-approved). It can also create the Shopify customer and send an account invite email. Tag changes happen through the Shopify Admin API in real time.

Can I show messages or buttons on the customer's account page?

Yes. FormGatekeeper includes customer-account blocks: a status banner ("Application received," "Approved," etc.) and call-to-action buttons. Buttons can be gated by tag, so only approved customers see a given link. Add these from the customer account editor in your theme settings.

Will applicants get notified?

Yes. Applicants can receive a confirmation email on submit and approval or denial emails when you make a decision. You're also notified when a new submission arrives. Email templates are editable.

Data & privacy
Where is my data stored, and is it private?

Submission data is stored in a secure database scoped to your store — it is never shared between merchants. See our Privacy Policy for full details on storage, third-party services, and retention.

What happens to my data if I uninstall?

Uninstalling revokes the app's access and triggers Shopify's mandatory data-redaction process. Your access token is removed immediately, and your store's data is deleted following Shopify's redaction timeline. You can also delete individual submissions any time from the dashboard.

Is FormGatekeeper GDPR compliant?

FormGatekeeper implements Shopify's mandatory privacy webhooks for customer data requests, customer redaction, and shop redaction. As the merchant, you remain the data controller — you're responsible for your own privacy policy and for honoring applicant requests under GDPR, CCPA, and similar laws.
